We are seeking a Financial Administrator to support the day-to-day financial operations of our nonprofit organization. This role may be filled at the Financial Administrator I, II, III, or Senior level depending on the selected candidate’s experience and qualifications. Responsibilities may include accounts payable, accounts receivable, bookkeeping, reconciliations, payroll support, grant and fund tracking, financial reporting, audit support, and general finance administration. The ideal candidate is detail-oriented, organized, trustworthy, and comfortable working in a small nonprofit environment where accuracy, flexibility, and mission focus are essential.

PRINCIPAL DUTIES & RESPONSIBILITIES:
1. Accounting, Payroll, Accounts Payable & Receivable
• Maintain accurate financial records; enter, code, review, reconcile, and/or approve invoices, deposits, credit card activity, journal entries, reimbursements, and other transactions according to assigned level.
• Review, process, and reconcile vendor invoices, checks, ACH/online payments, W-9s, payment records, donations, grant payments, program revenue, receivables, and deposits.
• Complete or support bank, credit card, balance sheet, and general ledger reconciliations; research discrepancies and follow up timely.
• Support month-end and year-end close by ensuring transactions are accurate, supported, and coded by program, grant, department, fund, or funding source.
2. Grant/Fund Tracking & Reporting
• Track grant budgets, expenditures, restricted funds, donor restrictions, and available balances; identify coding or documentation issues for correction.
• Prepare or support reimbursement requests, funder reports, monthly financial reports, budget-to-actual reviews, audit schedules, tax filings, and compliance requests.
3. Compliance, Controls & Process Improvement
• Follow and help reinforce policies, approval workflows, documentation standards, confidentiality expectations, and internal controls.
Support audit readiness, process improvement, training or mentoring as appropriate by level, and other duties as assigned to support the organization’s mission and operations.

QUALIFICATIONS:
Education/Experience
• Associate or Bachelor’s degree in accounting, finance, business administration, or related field required or equivalent combination of education and relevant work experience may be considered.
• 2-3 years Accounting related experience.

Skills/Specialized Knowledge/Abilities Required
• Proficient in data entry, accounting software, and Microsoft Office, including Excel; working knowledge of AP, AR, reconciliations, payroll support, and general accounting processes; demonstrates accuracy, confidentiality, organization, communication, problem-solving, collaboration, and initiative.
• Nonprofit accounting, fund accounting, restricted funding, and grant/fund tracking Blackbaud FE/RE (accounting/fundraising software) experience preferred but not required.

WORKING CONDITIONS:
Working Hours/Environment
• Work typically performed in an indoor, 3-floor office building

• Personal computer, copier, fax/scanner, phone, and other typical office equipment

Travel
• Up to 5% of the time

Physical and Mental Demands
• Frequently sit at a desk/workstation and work at a computer terminal for extended periods; use digital dexterity and hand/eye coordination; speak to and hear employees/clients by phone or in person; move between 3 floors; compare, decide, direct, problem solve, analyze, instruct, and interpret; minimal lifting up to 50 pounds: office supplies.
