JOB SUMMARY

The Accounting Specialist is a full-time position responsible for performing grant accounting functions including weekly accounts payable processing, grants management and compliance activities. This position reports to the Accounting and Payroll Director and requires a keen eye and questioning mind as Welcome House provides direct assistance to program participants from over 30 grants. This position performs duties in accordance with Welcome House Core Values, including Compassion, Advocacy, Integrity, Quality, Leadership and Community.

 

PRINCIPAL DUTIES & RESPONSIBILITIES

1. Accounting

·       Input of regular occurring invoices and immediate check requests into Blackbaud Financial Edge accounting software using paperless Expense Management system.

·       Reconcile monthly Bill.com invoices against individual staff debit card transactions and importing into accounting software.

·       Process weekly AP cash requirements and check runs for organization expenses.

·       Process monthly direct assistance rental & utility payments for grant program participants.

·       Process weekly bank deposits through remote scanner or branch visits.

·       Enter in-kind donations into Blackbaud’s Raiser’s Edge donor database for tax receipts.

·       Run various GL reports for grant funders and prepare to organize and manipulate in Excel.

 

2.  Grants Management

·       Responsible for preparing grant documentation for cash drawdown/grant reimbursement. Includes running & updating monthly GL reports, assessing charges for accuracy & appropriateness, following up on questions & preparing Excel spreadsheets for drawdown & audit backup.

3.  Administration

·       Performs monthly audit of staff Outlook calendars uploaded to SharePoint drive supporting audit backup documentation process.

·       Serves as backup to internal audit Payee Program files.

·       Supports paperless accounting by uploading & filing necessary documents in organization drives.

4. Other duties as specified by the Accounting & Payroll Director and COO

 

 

QUALIFICATIONS:

Note:  This position requires excellent Excel Skills, Extraordinary attention to detail, problem solver

and analytical skills.

Education/Experience

  • Minimum Associates Degree or equivalent

 

Experience:

  • 1-2 years Accounting related experience

  • Proficiency with Microsoft Office applications, including Word, Outlook, and Excel.

  • Ability to maintain the highest level of confidentiality regarding financial information.
  • Ability to communicate both verbally and in writing to a wide range of audiences, including staff, volunteers, donors, service professionals, and external vendors.
  • Ability to work collaboratively with internal and external partners.
  • Ability to solve problems and work independently.

 

WORKING CONDITIONS:

Working Hours/Environment

  • Work typically performed in an indoor, 3-floor office building

 

Tools and Equipment Used

  • Personal computer, copier, fax/scanner, phone, and other typical office equipment

 

Physical and Mental Demands

  • Frequently required to sit at a desk/workstation for long period of time
  • Ability to work at a computer terminal for extended periods of time
  • Digital dexterity and hand/eye coordination in operation of office equipment
  • Ability to speak to and hear employees/clients via phone or in person
  • Body motor skills sufficient to enable incumbent to move between 3 floors
